The reports in this menu are for shops that want to keep a perpetual inventory. The MIN and MAX that you set in each part in stock is used to trigger reorders. If you have not yet entered your MIN and MAX, there is a report to set these for you once you have taken inventory. MIN is the minimum level you want to have before triggering a re-order. MIN= is the level that triggers the re-order. MIN=1 is the most common setting for items that are sold as individual parts. MIN=2 is the most common setting for items that are inventoried individually but commonly sold in pairs. MAX is the maximum that you want to have in inventory. MAX=1 is the most common setting for items that are ordered and sold individually. MIN=1 and MAX=1 is the most common combination of setting for items in stock. MIN=2 and MAX=2 is a common setting for items that are sold in pairs.

This report uses your MIN stock level setting to show you the parts that you are low on stock on. This report does NOT take into account parts that are already on order.

This report uses your MIN stock level setting for each part to determine if this part needs to be ordered. It uses the MAX stock level to determine how many to order. This report takes into account parts that are already on order. This report does not actually build the purchase order, it just shows you how many parts would be ordered if you were actually building a purchase order. You might run this report every afternoon and once you have reached your freight minimum then you conclude that the order is large enough to then run the report that actually builds the purchase order.

This report actually builds a purchase order baced on your MIN, MAX, and the Quantity currently on order. It defaults to a purchase order number of "PO" followed by a two digit month, day, and year. For example, if you are running this report on July 15th 2023, it will default to "PO071523". You can change it to any numbering scheme you want to use. Just note that if you accept the default and you need to build two purchase orders on the same day, the second one will try to use the same number, so you will need to make it different. If you specify "MER" and build a purchase order of the Mercury parts that you need, this report will also build the .csv file that the MercNET shopping cart can import. This way you will not need to enter the Mercury part numbers into MercNET. Just import the Purchase Order and all of the part numbers will show up in MercNET.

If you order a bunch of parts and some come in, some do not, and some are only partially fulfilled, then you can still batch check in the order; but you first need to tell the computer which quantity of each part number on order actually was shipped.

This allow you to find the purchase order and adjust the quantities for the parts that shipped. It removes the "Quantity On Order" that was recorded while you were in progress with this purchase order.

This allows you to delete a purchase order without checking it in. Pleas make sure you want to do this. It is usually a mistake or the repair from a mistake. Each part in the order has a "Quantity On Order" marked and if you delete the purchase order you need to tell the program how to adjust this. For example, if you build a purchase order and wait a few days before ordering those parts and now you have more parts to order from the same company, you might want to undo the first purchase order and create a new one. Be sure to answer YES when asked if you want to undo the "Quantity On Order" in this case.

This report will show you all of your parts that are still on order. Some might be backorders. Some might be orders in progress. The Purchase Order number and the Order Date will be shown for each part that is still on order.

These reports subset your inventory based on the Quantity and/or Year To Date (YTD) sales numbers. Note that if you do not use a Point Of Sale program or the F5=OUT & F6=IN options, your YTD numbers will all be zero. Some shops might only count their inventory every winter to get the value of their parts. Other shops want more automation so they do INs and OUTs on their inventory and keep it accurate all year long. If you do INs and OUTs of your inventory, you can do more automation by setting the MIN and MAX value for each part and use the suggested reorders. They your YTD numbers will be accurate and you can subset your parts and see the parts that are selling each year.

If you have under 1,000 parts in stock and it is only deleting about 100 of your parts, then this will be very fast. If you have 10,000 parts in stock, and it is deleting about 1,000 parts, then this will take some time. Please be patient and allow it to continue through completion. Near the end of the deletions, the deletes will happen faster. Most dealers run this report every other year. It will not hurt to run this report every year; but in most cases, it will not delete any parts if you ran the report last year. If you do not do INs and OUTs on your parts, then this report will delete all of your parts with zero quantity.

For example, if you wanted to get a total of your OMC parts and your YAM parts, you enter "OMC YAM" into the search box when prompted. Your will get a dollar total of all of your OMC and YAM parts. If you want to print the report, first export the report to notepad under the File menu. Then you can save, edit, or print the report exactly the way you want it. This report includes:
Current inventory total at average cost (this is useful for inventory tax),
Current inventory total at replacement cost (this is the amount that you need to insure your inventory for),
Current inventory total at OEM suggested list price,
Current inventory total at Dealership (custom) list price,
This year's sales at average cost,
This year's sales at dealer cost,
This year's sales at OEM suggested list price,
This year's sales at Dealership (custom) list price,
plus the past 9 years of sales history converted to today's dollars.

This is the same report as "5. Calculate Value Of Current Inventory" except that it gives you an option to reset the "Year To Date" (YTD) numbers and move the data down one year. You are reminded ro run this report the first time you run the program after January 1st each year. Please be wise and do it if you do IN's and OUT's and you keep your inventory accurate. There is an option to save the numbers in a notepad screen.

This report is similar to "1. Pricebook Of All Parts In Stock" except it is not in numerical order, instead it is in BIN order. If some of your bins are blank, those will print first.
You get a choice of printing the quantity on this report or leaving it blank. Some shops print one with the quantities and one without. They give the printout without the quantities to the person taking inventory. The person taking inventory has to write the quantity they counted on the report with blank quantities. Then the owner compares the two printouts and corrects the differences. The experts say you get a more accurate inventory if you do it this way. Something about keeping an open mind.
You get a choice of right justifying the bin numbers or leaving them left justified like most people type them.
Some shops have all numeric bins like 1, 2, 3, 10, 11, 12, 20, 21, 22, 100, 101, 102, 200, 201, 202. If you leave those left justified, 1, 11, 12, 101, and 102 will print before 2, 20, 21, 22, 200, 201, and 202. This is not in numerical order. All numeric bins should be right justified if you want them printed in numerical order.
Some shops have all alphanumeric bins line A1, A2, A3, B1, B2, B3, C1, C2, C3. If you leave those left justified, all of the A bins will print together. Alplanumeric bins should not be right justified.
You get a choice of entering a Start BIN and Stop BIN. The default is to start at " " and stop at "~~~~~~". That is like from "A" to "Z". This will allow you to print a single BIN or a range of BINs. For example, you could start at "A1 " and stop at "A99999". You might need to run the entire report from " " to "~~~~~~" to see the sorting and help you pick a good Start BIN and Stop BIN. The right justify option can make a big difference in how your start and stop BIN should be entered. This report includes: Part Number, Description, Price, Bin, QTY, and YTD.
WARNING: All of the parts that do not have a bin specified will sort to the top and print out first. There might be several pages like this. It is easy to think that all of your bins are blank when you see this. Please scroll down in the listing and you will see that your parts with BINs entered are included also.

This will allow you to set all of your MIN and MAX values to the current Quantity. This is useful if you have just started using this inventory program and you have just taken inventory. If you run this report and set your MINs and MAXs to the current quantity, then every time you sell a part, the computer will remember it and it will show up on the next reorder report. You can secind guess the MIN/MAX values as you are preparing your purchase order and you see how much the cost of the sold parts it.

The Average cost is often less than the current replacement cost since you bought some of your parts years ago when they were less expensive. Some shops never want to see those old cost prices. This report will overwrite those old cost prices with the current price for this part.

This is used when Huggins converts inventory from another inventory system. Sometimes the old average cost is not provided, so we use the current replacement cost.

This is used for old NLA parts that cannot be looked up anymore. Setting them to 0.01 is like writing them off; but the 0.01 prevents them from looking like an error.

This is used for cases where a shop runs the "End Of Year" report multiple times in the same winter. The "End Of Year" report should only be run one time per year.

This is used by Mercury dealers to put their obsolete inventory in MercNET's Non-Active Parts Inquiry database so other dealers can search for obsolete parts that are no longer being stocked and shipped by Mercury Marine. Obsolete parts include NLA and superseded parts. First run this report to build a file named obsolete.csv in your Huggins folder. Then log into MercNET and on the Home tab, click on Non-Active Parts Update. Then click the browse button to select the obsolete.csv file in your Huggins folder. When you click Apply, Mercury will go through your obsolete parts and show you which ones you can add to their Non-Active Parts database. Please be patient since Mercury's processing of this file takes quite a bit of time. After Mercury goes through your obsolete parts, you will see a list of them and you must click Add to add these parts to Mercury's MercNET Non-Active Parts database. In the future, you will probably want to delete all of your old postings and add all of your parts again. This will ensure that you do not have parts out there that you have already sold. Most dealers do these postings every year at inventory time. Call Huggins for help with this tricky path through MercNET.

Validate the xref2inv.dat file. Sometimes databases get corrupt. Power failures and lightning strikes are a common source of corruption. Shops with a Uninterruptable Power Supply (UPC) that sells for about $100 have less trouble than shops that rely on their power company never letting them down. We had a customer that lost enough power that their computer rebooted every time the techs in the shop were welding aluminum using the TIG welder in AC mode. It was an old building. Putting a UPS in line between the computer and the wall plug prevented these corruptions.

Sort the xref2inv.dat file to repair sort errors.

Look for duplicates in the xref2inv.dat file. Duplicates are caused by power interruptions while adding a part to your inventory or deleting a part from your inventory.

Look for parts in the inventory that Huggins does not have a catalog price for. These are parts that the OEMs no longer publish a price for. The "Shop Override" will allow you to set your price for these parts.

For example, if BIN "A1 " is getting full and you need to move all of those parts to "BIN1 ", you simply move the physical parts and then run this report to change all of the parts that were in A1 to now be in BIN1.

Delete parts in the inventory that Huggins does not have a catalog price for. These are parts that the OEMs no longer publish a price for. These could be mistakes imported during a data conversion. A confirmation dialog is presented before running this utility since you might want these unique part numbers in your inventory even though Huggins does not have a OEM catalog entry for these parts.

This allows you to import inventory from an Excel spreadsheet. This is tricky. Please call Huggins for help with this. The sheet must be names "Sheet1". The part number must be in column A and the field that you want to import must be in column B. The part number must have the Huggins three character prefix on it. Every part in the spreadsheet will be added to your inventory.

This allows you to update the parts you already have in stock from an Excel spreadsheet. This means that if the Excel spreadsheet has more parts in it than your inventory, only the parts in your inventory are updated. This is useful for updating prices in your inventory if you are on a special buying program from the OEM or distributor. This is tricky. Please call Huggins for help with this. For example, if you have 3,000 Land'N'Sea parts in your inventory and you are on a special buying program from Land'N'Sea, they can send you a spreadsheet containing their 60,000 parts with your special cost, and you can import just the cost prices for the 3,000 parts that you have in inventory.

The Help option displays important information about the aftermarket vendors included in the cross reference software. This includes the three character vendor prefixes. These prefixes are sometimes necessary when two companies have the exact same part number. We have also added QPD (Quick Parts Distributor) codes for all of the Mercury part numbers. These QPD codes allow you to identify weather or not a Mercury part number is available from a QPD distributor, such as Land'N'Sea. Please note that Mercury parts with QPD=T can be purchased by anyone. Mercury Marine parts with QPD=M can only be purchased by authorized Mercury dealers. We have listed contact information for the aftermarket companies included in the program. Should the need arise to contact any of the companies referenced in our program, please be sure and tell them you found their information in the Huggins Cross Reference program!

This option displays license information for your copy of the Cross Reference program and gives you the opportunity to enter the unlock key that Huggins gives you over the phone. This dialog also allows network users to change the folder that the program uses to access the price files. Clicking on the word "Folder" will enable the folder path to be changed. Note that you must close the program and re-open the program for your folder path changes to take effect. Note that the folder needs to end in a backslash. The most common folder setting is "c:\huggins\". For networks, one common folder is "w:\huggins\". Another common folder is "h:\huggins\". This is the folder where your inventory information is stored. This is the folder that will contain the xref2inv.dat file. This is the file that you should backup periodically. The program makes backups daily, weekly, monthly, and annually; but you need a strategy for an offsite backup. Please call Huggins for help with your backup strategy.

This option displays version information for your copy of the Cross Reference program. Here you will find your serial number, installation date, and database dates. If the dates for the Catalog, Database, and Supersede are not updating when you instakk your monthly update, you might have a hung file on your file server. This can happen when a user powers off their computer with the program running. Please call Huggins if your databases are not updating when you do your monthly updates.

In a few cases where there is part number overlap, you will need to use the three letter prefix to get the part you want.
You can enter MER1000 to see the Mercury part.

You can enter KAW1000 to see the Kawasaki part.
If you enter 1000, you get the Mercury 1327-1000 which supersedes to 1327-1118. This is by design. Mercury is a OEM. Mercury is a much larger company.

Sometimes parts are manufactured with a part number or marking that is not the actual part number that can be ordered.
In some cases, the part is marked with an internal part number that is not orderable as a separate unit. It must be ordered as a larger assembly.
Sometimes the part number marking is the internal part number for the heat sink enclosure of a power pack, rectifier, or ECU for example.
In some cases, the part is marked with the supplier part number and not the manufacturers part number.
The supplier might be contractually restricted from selling this part individually into the marine industry.
Many aftermarket companies get calls for replacements for these parts that failed that have these markings.
These markings usually do not show up anywhere in the microfiche or parts diagrams for these engines.
By cataloging these markings in this cross reference program, we are linking these markings to the actual part numbers for replacement.

Donovan is a distributor of SysteMatched repair parts.
The parts are the exact same parts that are sold as Genuine Evinrude / Johnson parts; but they are in boxes that say SysteMatched.
Not all Evinrude / Johnson parts are available as SysteMatched parts. Only about 1,500 fast moving maintenance parts are included.

All companies are required to purchase a range of UPC numbers from GS1.

Not all barcodes are UPC's.
Some companies just bar code their part numbers.
It really does not matter if the bar code is a part number or a UPC if the software can handle both.
All software can handle bar coded part numbers.
Some software can handle bar coded UPC's.
The Huggins XREF can handle all of the marine industry UPC's that you will likely encounter.
This requires constant maintenance.
Mercury Marine, for example, will sometimes re-use a UPC from one part number to a newer supersede of that part number.
It is impossible for a dealer to maintain inventory properly when Mercury Marine does this.
The dealer might have last year's oil with last year's graphics in stock under one part number.
The dealer might have this year's oil with this year's graphics in stock under a newer part number.
If Mercury uses the same UPC for both part numbers, then the dealer cannot maintain inventory properly.
One explanation that we have heard for this behavior is that Walmart does not like their suppliers changing UPC's for the items that they carry.
If Mercury changes the UPC for the oil that Walmart buys from them, then Walmart must do some maintenance of their UPC database.
So instead, Mercury uses the same UPC for last year's oil and this year's oil even though they have a different part number that the dealer must use for ordering and inventory control.
Who is better equipped to handle the maintenance of their inventory, Walmart or the poor marine dealer?
Walmart won.

Q: How do I update the pricing my software uses? The prices in my version are out of date.

A: Click the Help Menu and then Click the Updates option. Then download the latest version.

Q: How many computers can I use your software on? I have three computers in my dealership.

A: The Huggins Cross Reference Program is licensed per computer at your dealership. Additional licenses are available for additional computers at the same street address. Contact Huggins Outboard at 919-787-1836 for information and pricing on additional licenses.

Q: My dealership has a computer network. Will the Huggins Cross Reference Program work on a network?

A: Yes, however you will need to purchase an additional license for each computer that will be using the program. You can specify a different folder for the stock file, the price files, and the images. Or in a single user installation, you can use the same folder for all three.

Q: Why can't I read all of the information displayed in the programs results window?

A: You have selected a Font Size combination that is not working very good with your computer monitor size. Uncheck the "Automatic Font" selection found under the VIEW menu. Choose the Courier or Courier New font. Try resizing your window. Try different font sizes.

Q: I think that I have found a cross reference that is wrong. What should I do?

A: Contact Huggins Outboard Computer Programs at 919-787-1836 with the part number and bring it to our attention. You can e-mail information to robert@hugginsweb.com. With over 3 million parts included, even with 99.99% accuracy, there are still 300 errors in the product. We get about 10 updates per month and merge them into the product. There is a real good chance the product is not perfect. The product is, however, put together with an attention to detail that minimizes additional errors introduced by the computerization of the data provided by the manufacturers.

Q: I bought my first Huggins Cross Reference Program from my local marine distributor. Should I contact Huggins Outboard or my Distributor to buy the current version?

A: You can contact the Marine distributor you originally purchased the software from in order to purchase a newer version. In some cases, your local marine distributor was part of a marketing campaign that has expired. If your marine distributor is not jointly marketing the XREF product with Huggins this year, just call Huggins Outboard to renew. In some cases, the marine distributor has contracted with Huggins Outboard to deliver a special "branded" version of the cross reference that displays only the brands that the distributor carries. You might have a choice of a special purchase of the Huggins XREF through your distributor or a purchase of the full version directly from Huggins.

Q: I am a user of the Wallace Dealer Management System and I bought Huggins to work with my Wallace system. Are there any special installation instructions for users of the Wallace system?

A1: Yes, the default installation for users of the Wallace system is to change the install folder from c:\huggins to w:\huggins on the "Select Destination Location" installation screen. This is the third screen you will see. Screen #1 is "Welcome". Screen #2 is "License Agreement". Screen #3 is "Select Destination Location".
A2: If you already installed the Huggins XREF before deciding to integrate Huggins with your Wallace system, you will have your Huggins system installed in the c:\huggins folder. This entire huggins folder needs to be copied to the W: drive to work with your Wallace system. You should have a w:\huggins folder after the copy. Then you need to run the Huggins XREF and click on Help, then click on License Unlock. Box 7 will have your install folder of "C:\HUGGINS\". Click the word "Folder" and then the "C:\HUGGINS\" will change colors from grey to black & white. You can then change this setting to "W:\HUGGINS\". Then click "OK". Now, within your Wallace system, your part number lookup screen will have an operational "Reference List" button. Contact Wallace for more information.

Q: How can I get the Huggins XREF to integrate with the computer program I am using for inventory control?

A: In the past, the Huggins XREF has integrated with M-Shop, Marine Repair Shop Software, Digital Wrench, Wallace, MIC / Commander, and Huggins inventory software. Please contact your software company and request that they become compatible with the Huggins interface. Tell them that a Software Developers Kit is available from Huggins.

Q: How can I interface the Huggins XREF to Mercury's Electronic Parts Catalog?

A: It depends on which version of Mercury's EPC you are using. Right click integration with Mercury's EPC from version 2.1 through 16.1 is automatic after Huggins XREF installation. Integration with the online version of Mercury's EPC is through "cut and paste" of the part number from the online software into the Huggins part number box. Right click integration with Mercury's EzParts 5 Offline EPC is through setup in the EzParts5 software, enter c:\huggins\xrefnet.exe as the view stock program under Tools / Options / DMS. Click the check box to indicate the use of the "temp" folder. We have seen very few users of Mercury's EzParts5 Offline EPC. Most of the EzParts5 users we have encountered so far have been using the online version of EZParts5. The online version of EzParts5 does not support a right click interface. If you want a right click interface, you must install the offline EzParts5 EPC on your local PC. Otherwise, you will be using copy and paste with the online version of EzParts5.

Q: I am not seeing all the cross references I am accustomed to seeing in the Huggins XREF, something happened to subset the output I am seeing. How can I see more cross references?

A: Click on View, then click on Xref Level. If you are on XREF level 1, change it to level 2 to see more. If you are on Xref level 2, change it to level 3 to see more. Most users leave the product on Xref Level 2.

Q: I am seeing more cross references than I am accustomed to seeing in the Huggins XREF, something happened and now I am seeing related parts. How can I see only specific "apples" to "apples" type cross references?

A: Click on View, then click on Xref Level. If you are on XREF level 3, change it to level 2. Most users leave the product on Xref Level 2.

Q: I am not seeing any pictures. How can I start seeing the pictures of the parts that I lookup?

A: Click on View, then click on "Show Pictures". This toggels the pictures on and off. You want a check mark just to the left of the "Show Pictures" option.

Q: My pictures are just empty white boxes. How can I start seeing the pictures of the parts that I lookup?

A: If you see one or more empty white picture boxes, then you need to load the pictures. Pictures are a separate download. Click Help, then Updates, then click the link for the "Huggins Image Library." It will take several minutes to download the image installation file "images.exe" then you need to run this file to extract the images.
